Use the calendar below to keep track of what data you need to submit and by when. 

The period between February 1st - June 7th is considered “data finalization”. During this period, member hospitals complete a series of steps to ensure that all data for the previous birth year is entered completely and accurately. At the end of data finalization, CPQCC uses the complete data to generate and submit each hospital’s CCS Report on their behalf.

Our Data Center team is on hand throughout the data finalization process to assist members in meeting each deadline. In addition, members can refer to our NICU Data Resources. 

  • January

    JAN 1
    Start entering data on infants born during the current calendar year on the NICU Data Site
    JAN 7
    Enter data for all babies born between October-December of the previous calendar year through the NICU Data Site in order to receive a complete Q4 Report.
    JAN 9
    Q4 Report available through the NICU Data Site.
    JAN 15

    Members are required to update the CPQCC Contact Report to qualify for the NICU Superstar Award.

     

  • February

    FEB 1

    Membership fees are due for the current calendar year. Members that submit payment after this date will be subject to a $300 late fee. Data Finalization Guidelines for the current close-out year released via the close-out checklist. Members are required to confirm receipt of the guidelines by manually checking off item 2. Members are required to update Center's contact details on the CPQCC Contact Report.

     

  • March

    MAR 15
    Members that meet the April 1st deadline by this date are eligible for the Superstar Recognition Award! Note: The CPQCC Contact Report must also be completed by January 15th.
     

  • April

    APR 1

    By this date, members must complete the following tasks to close-out data from the previous calendar year:

    • Submit data for all eligible infants born in the previous calendar year
    • Submit the CCS Supplemental Form
    • Review the draft CCS Report for accuracy and completeness
    • Submit the Review/Confirmation of IDs Submitted & Confirmation of CPQCC Conditions Form
    • Submit the VON Membership Survey by logging into VON Member’s Area.

    All submissions can be made online through the NICU Data Site.

     

    APR 7

    Enter data for all babies born between January-March of the current calendar year through the NICU Data Site in order to receive a complete Q1 Report.

     

    APR 9

    Q1 Report available through the NICU Data Site.

     

  • June

    JUN 1

    By this date, members must complete the following tasks to close-out data from the previous calendar year:

    • Complete 100% error free submission of data for all eligible infants born in the previous calendar year
    • Follow-up on all warnings listed in the Errors and Warnings Report for birth year 2018.
    • Reduce confirmed unknowns to ≤ 3% for key risk factors and outcomes for inborn babies only
    • Resolve any duplicates or re-encounters on the Data Consistency Report
    • Refer all HRIF eligible infants born in the previous calendar year for services and register them in the HRIF Reporting System.

     

    JUN 2-7

    Members are required to confirm their final CCS Report between June 2nd at 12:00 AM and June 7th at 11:59 PM. The confirmation button will only be enabled during this time frame. Members that confirm their report before June 3rd are eligible for the Early Bird Recognition Award. CPQCC will submit CCS Reports on behalf of each member by June 15, once all members have confirmed their reports.

     

    JUN 3

    Members who have met the following criteria by June 3rd are eligible for the NICU All-Star Award!

    • Earned the March 15th Superstar Award
    • Meet the June 1st deadline by May 15th 
    • Earned the June 2nd Early Bird Award

    JUL 7

    Enter data for all babies born between April-June of the current calendar year through the NICU Data Site in order to receive a complete Q2 Report.

     

    JUL 7

    Annual CPQCC Web Report available through the NICU Data Site for previous year’s data.

     

    JUL 9

    Q2 Report available through the NICU Data Site

     

  • September

    SEPT 1

    Annual VON NICU Quality Management Report available online through the VON Member’s Area for previous year’s data. Hardcopies of the report will also be sent to each member.

     

  • October

    OCT 7

    Enter data for all babies born between July-September of the current calendar year through the NICU Data Site by this date in order to receive a complete Q3 Report.
